We are currently looking for a FT Project Coordinator for our Construction Department to work in our home office.
This role would provide administrative support to the department.
Summary/Objective The Project Coordinator supports Operations and interacts with all areas of the company including Sales, Purchasing, Fleet and Facilities, Inventory, and management as needed.
The position functions successfully by maintaining document control and proficiently using time clock software while tracking project activities and coordinating team communications and activities to ensure project goals are accomplished within the schedule, budget, and scope parameters of the project.
Essential Job Duties and
Responsibilities:
Work with Bidding and Estimating (B&E) and Operations to coordinate and prioritize the completion of open bids.
Assist project managers in writing Scope of Work (SOWs) for proposals, change orders or emergency response jobs Assist with print rake offs or collecting spec sheets for proposal submittals Assist with subcontractor agreement process with operations for awarded proposals; assist with getting quotes from subcontractors Collect, read and save daily project reports (DPRs).
Assist in the migration of DPRs to Daily Logs completed in Foundation.
Ensure that exports from Well Bid are correctly imported to Foundation and assist in final creation of Bill of Materials (BOM).
Assist in daily project planning and needs, including:
o Upkeep and maintenance of Crew Calendar for Dept.
Manager o Facilitate materials orders for jobs as well as assist in determining stock to be ordered; coordinate pulling of materials and staging of equipment in a timely manner with warehouse/facilities personnel.
o Track and expedite any necessary permits or licenses required for completion of jobs (including but not limited to business licenses, Attachment permits, PennDOT permits, municipality permits, Fuel/Trip Permits) Create project pre and post submittals as required; assist with project close out packages, including as-builts.
Import BOM from Well Bid to convert to Job Material List (JML) and coordinate the ordering of material with Purchasing or the picking of material with Inventory/Warehouse.
Import Change Order from Well Bid; update statuses of Change Orders Assist and back up other Project Coordinator(s) in the upload of Unit Price Bids (UPB) and Completed Quantities within the UPB module of Foundation Use job center to document projects including job notes, meeting minutes, and customer contacts).
Ensure all applicable Foundation entries are made so that Query Reports are accurate.
Assist department managers with ensuring all job billing is current and complete Meet with department managers regularly (daily) to discuss Active Jobs Reports (AJR), including reviewing, prioritizing, and completion of tasks to expedite jobs to closure.
Review timecards against DPR's or Daily Logs for accurate completion of both payroll information (hours) and job costing information (proper job number, phase and cost code.
Notifies appropriate manager of any discrepancies and/or missing entries.
Ensure DVIRs and toolbox talks are completed by crews daily and forwarded to the safety point of contact Migrate files, prints, and other operational/non-financial documents to appropriate drive folders upon award of project Work with internal and external customers as required to ensure smooth operations workflow Education and
Experience:
High School Diploma, AS degree or equivalent experience and education.
2-3 years of utility construction and customer service, telecom experience a plus Excellent computer skills (MS Office and Adobe required, Oracle a plus) Strong interpersonal and collaboration skills.

The check will bounce and the victim is left responsible.
